Trade fair documentation with Proofbox
Your trade fair presence, documented and sealed
What you show at your booth can count as a public disclosure. Proving years later what exactly was on display, and when, is hard. Proofbox turns your photos and a short description into a sealed, dated and citable record.

Four steps, no special software
How to document your trade fair presence
All you need is your phone and a word processor. The whole process takes about half an hour, most of it for the description.
- 1
Take photos
Photograph your booth, the exhibits and your products. Include something that shows the fair and the date, such as the event signage, a banner or your exhibitor badge.
- 2
Write it up
Open a word processor, describe in a few sentences what you presented and insert the photos. Name the fair, the city, the date and your booth number.
- 3
Save as PDF
Export the document as a PDF. Every common word processor offers this in its save or export menu.
- 4
Upload to Proofbox
Upload the PDF, give it a title and publish. Enter the code FIRSTDOCU at checkout.
What you gain
A record that speaks for itself
Independent of witnesses
The date and the unaltered state of your documentation are recorded by a qualified timestamp and a qualified seal under eIDAS, not by the memory of the people who stood at the booth.
No notary appointment
You upload the PDF yourself, from the booth, the hotel or the office. There is no appointment to book and no office to visit.
Ready to download in minutes
Processing is fully automated. A few minutes after the upload, the sealed PDF is in your dashboard, ready to download and to pass on.
- The seal validates in Adobe Acrobat and Reader without any configuration.
- A persistent DOI makes the record citable.
- A permanent individual URL makes it findable by search engines.
- Any later change to the file becomes detectable through the embedded hash.
Good to know before you upload
Your documentation is published as a defensive publication in the Proofbox archive. Its title and abstract are publicly findable, and the full document is accessible behind a paywall, so distribution stays contained. Include only what was openly on display at the fair.
Turn your booth into a lasting record
Upload your trade fair documentation while the details are fresh.

A defensive publication creates no industrial property right. Whether it is taken into account as prior art or as evidence in a given case is decided by the competent authority or court. Proofbox provides the technical and organisational preparation, not the legal assessment, and does not give legal advice.
